AI Workspace Setup for Small and Home Offices

CoastDigiTech sets up AI for small offices and home offices on the Central Coast. We configure Claude, ChatGPT, Google Gemini or Microsoft 365 Copilot inside the tools you already use, organize it into projects, add your branded templates, lock it down, and train your team. Based in Orcutt, serving Santa Maria, the Santa Ynez Valley and San Luis Obispo County.

AI Workspace Setup at a Glance

  • What it is: a fixed-scope setup of a business AI assistant for offices of one to twenty people.
  • Platforms: Claude, ChatGPT, Google Gemini and Microsoft 365 Copilot. We recommend one based on the tools you already pay for.
  • What you get: project workspaces, branded design templates, connections to your email, calendar and files, security settings, a one-page AI use policy, hands-on training and written documentation.

What We Set Up

Projects

A workspace for each client, job or part of the business, loaded with the documents, price lists, templates and instructions the AI needs to give useful answers instead of generic ones. Everyone works from the same source.

Designs

Branded templates for proposals, one-pagers, slide decks, social posts and flyers, so what the AI produces matches your colors, fonts and logo and can go out the door without a rebuild.

Connections

Links to the email, calendar and file storage you already use in Microsoft 365 or Google Workspace, plus automations that move AI output into the next step so nobody copies and pastes between tabs.

AI Training for Your Team

Training is part of every setup, not an add-on. We run a hands-on session using your own emails, documents and quotes, so your team leaves knowing how to:

  • Get specific, useful answers by working inside the right project
  • Draft customer replies, proposals and SOPs in your voice and format
  • Check AI output before it goes out, and recognize when not to trust it
  • Keep client, financial and personal information out of places it should not go

Built for Small Offices and Home Offices

You do not have an IT department, and you should not need one to use AI well. This is for owner-operators and teams of one to twenty: bookkeepers, real estate and insurance offices, contractors, consultants, growers and shippers, wineries and tasting rooms, and anyone running a business from a spare room.

  • Answer customer emails and quotes faster without sounding like a robot
  • Turn notes and voice memos into proposals, SOPs and checklists
  • Summarize contracts, statements and long email threads
  • Produce marketing material that looks professionally designed
  • Keep household and business work separate when the office is at home

Set Up Safely, Not Just Switched On

Turning on an AI tool is easy. Deciding what it is allowed to see is the part that protects you. Every setup includes:

  • A plan chosen for how it handles your data, including whether your content can be used to train models
  • Sign-in with multi-factor authentication and the fewest permissions that still get the job done
  • A one-page AI use policy your team can actually follow
  • Clear rules for which client, financial and personal information may and may not go in
  • Sharing and retention settings reviewed so nothing is public by accident

If your cyber insurance renewal asks how you use AI, you will have a written answer.

Which AI Platform Is Right for a Small Office?

The best choice usually follows the tools your office already runs on:

  • A standalone assistant for writing, analysis and research alongside either suite: Claude or ChatGPT business plans are strong options.
  • Google Workspace offices (Gmail, Docs, Drive): Google Gemini is the natural starting point.
  • Microsoft 365 offices (Outlook, Word, Excel, Teams): Microsoft 365 Copilot is usually the best fit because it works inside those apps.

Plans, prices and data terms change often, so we confirm the current terms for your plan before you buy anything.

How It Works

  1. Discovery. We look at how you work today and pick the two or three tasks where AI saves the most time. Starts at $350, and the written findings are yours either way.
  2. Setup. Accounts, security settings, projects, design templates and connections, configured and tested.
  3. Training. A hands-on session using your real work, not a slide deck.
  4. Handover. Written documentation of every setting and template, so you are never dependent on us to keep it running.

Common Questions

What Is an AI Workspace?

An AI workspace is a business AI assistant set up for how your office actually works: organized into projects with your documents and instructions, connected to your email and files, using your brand templates, and secured with the right plan, sign-in and permissions.

How Much Does AI Setup Cost for a Small Office?

Discovery starts at $350 and you keep the written findings either way. Setup starts at $500 per user and is confirmed at a fixed price, in writing, before any work starts, so there are no hourly surprises. AI subscriptions are billed by the vendor and are separate.

Which AI Platform Do You Use?

We are not tied to one vendor. We set up Claude, ChatGPT, Google Gemini and Microsoft 365 Copilot, and recommend the one that fits the tools you already pay for. The reasoning goes in writing.

Will My Data Be Used to Train the AI?

That depends on the platform and the plan, which is exactly why plan selection is part of the setup. We confirm the vendor’s current data terms for your plan before anything is loaded.

Do I Need New Licenses?

Sometimes. Many offices already have AI features included in a subscription they pay for. Where a paid plan is needed, we tell you which one and what it costs before you buy.

Do You Come on Site?

Yes. We are based in Orcutt and work on site across the Santa Maria Valley, Lompoc, the Santa Ynez Valley and southern San Luis Obispo County when it helps, and remotely when it does not.

I Work Alone. Is This Worth It?

Usually more so. A one-person office gets the most out of an assistant that already knows its templates, clients and pricing.
